This is drawn into sharp focus considering Skilled pays up to 15 000 employees per week and a massive 60 000 unique individuals over the year, complying with 632 industrial instruments with a total of over 3000 pay runs annually.

Skilled has 40 years of experience and excellence in workforce solutions servicing customers through provision of flexible resourcing to manage peaks and troughs in its labour requirements whilst sustaining productivity. With this in mind, Skilled Group assessed its rapid growth rate, complex project base and disparate array of legacy management systems.

With an impressive rate of growth, the workforce management juggernaut discovered managers were frequently hampered by a lack of visibility in core business processes, project and assignment profitability and sought a solution to their blind spots.

Seeking a ‘single source of truth’ for the company’s spectrum of workforce and customer data, Skilled conceived Project ‘BOOST ‘ (Back Office Optimisation and System Transformation). This ambitious project was designed to transform Skilled’s previous model of distributed back office transactions to the new model of centralised back office transactions in a Shared Service Centre.

Vision
Skilled aimed to transform payroll, invoicing & finance processes, structures and systems to enable ‘world’s best’ service delivery and support Skilled Group’s growth targets. Legacy systems were viewed as limiting growth potential, manual processes were complex and inefficient and workarounds causing a lack of clarity in process.

To fulfill this vision the company chose to implement a new ERP system, Unit 4 Business World to achieve the following:

Benefits
The benefits of the new system have been manifold. Payroll is no longer based on the manual submission of paper timesheets and now uses an electronic interface of timesheet data and images from a variety of interfaces.

The processing time for billing has also been reduced, as billing and payroll can be processed in parallel, whereas the old system required a sequential process, meaning bills went out much later than what is now possible in Agilyx.

The new billing and payroll system has enabled very detailed job-costing (including all payroll on-costs), improving the company’s job profitability reporting and enabling “management by exception”. Bills and invoice proposals can now be reviewed and approved by managers using the automated the workflow distribution tool, saving time, then invoices can be emailed to customers, incorporating the images of the authorised timesheets. The better billing cycle and increased accuracy and quality of invoice information has greatly improved its cash collection cycle and minimised customer queries. When customer queries do occur, branch offices no longer have to dig out and photocopy paper timesheets as the electronic images of timesheets are attached to the invoice.

The new system has also improved information storage and accessibility, offering complete integration and cross-module sharing of information enabled by the inbuilt Agilyx reporting functionality. This has delivered extensive new reporting and analysis for all departments. SKILLED now has dozens of operating legal entities all managed within the one financial ledger, greatly easing the production of consolidated financial reports. This has reduced year-end processes reduced from weeks to days.

The new ERP has also engengered greater staff and employee engagement and reduced postage and other costs through employee selfservice, emailed payslips etc. Improved processes, better reporting and analysis and a flexible system has enabled SKILLED to streamline its business and continuously implement improvements, and it now generate 60 percent more revenue per head of operational staff when compared to using the old system.
